How to Send a Digital Receipt by WhatsApp

WhatsApp is already part of everyday communication for many businesses. Sending a digital receipt through WhatsApp can make it easier for customers to receive and keep their receipt.

A digital receipt does not need to be handed to the customer on paper. If the receipt system creates a secure digital link, that link can be shared with the customer through WhatsApp.

This can be especially convenient for service businesses, mobile businesses, appointments, and customers who already communicate with the business through WhatsApp.

1. Create the Receipt First

Before opening WhatsApp, create and review the receipt in your receipt system.

Check the customer information, products or services, quantities, prices, discounts, VAT where applicable, payment method, and final total.

Once the receipt is correct, save it before sending it to the customer.

2. Use the Correct Customer Phone Number

The customer's phone number needs to be in a format that WhatsApp can recognize.

International WhatsApp links generally use the country code followed by the phone number, without spaces, brackets, or other formatting.

Example:A local number may need to be converted to its international format before creating the WhatsApp link.

3. Share a Receipt Link Instead of a Screenshot

A digital receipt link is often better than sending a screenshot of the receipt.

A screenshot may be difficult to read on some devices and can become blurry when resized. A digital receipt page can adjust to the customer's screen and preserve the original receipt information.

It also gives the customer a link they can save and reopen later.

4. Keep the WhatsApp Message Simple

The message accompanying the receipt does not need to be long.

A short message is usually enough, for example:

Thank you. Here is your receipt:

https://example.com/receipt

You can also add your business name or a short thank-you message if appropriate.

5. Check the Receipt Before Sending

Before tapping Send in WhatsApp, make sure the correct customer is selected.

This matters because receipts may contain customer information and transaction details.

Sending a receipt to the wrong person can create an unnecessary privacy problem.

6. Make Sure the Link Opens Correctly

A useful digital receipt should open properly on common mobile devices and browsers.

Test your receipt links before relying on them for customers. The page should be readable without requiring the customer to log in to your business account.

7. Keep Public Receipt Links Protected

A public receipt link should not simply expose every receipt through predictable numbers.

A better approach is to use a unique access token or similarly difficult-to-guess value as part of the receipt link.

This helps reduce the chance of someone finding another customer's receipt by changing a number in the URL.

8. WhatsApp Does Not Replace Your Own Records

Sending the receipt through WhatsApp is a convenient delivery method, but the business should still keep its own receipt records in the receipt system.

Messages can be deleted, devices can change, and customers may lose older conversations. Your receipt history should remain organized independently of the WhatsApp conversation.

9. Email Can Still Be Useful

WhatsApp is convenient, but some customers may prefer email.

A receipt system that supports both methods gives the business flexibility to use the customer's preferred communication channel.
